Description:
Use this request to start, change, or stop university phone and fax services, which are provided through the university’s cloud based communications system. These services are primarily software based and can be accessed on university managed computers and mobile devices, allowing users to make and receive phone calls and send or receive faxes electronically without the need for physical phones or fax machines. Optional desk phones are available for phone service and may include additional equipment and support charges.
Phone Options:
Individual Phone Number
A personal phone number assigned to one person. This number can be called directly from outside the university.
Department Phone Number
A shared phone number used by a department or team. This number is typically used for incoming calls and as the caller ID for outgoing calls. It is not assigned to a single individual.
Additional Features
You may also request additional phone features, including:
- Voicemail
- Call routing and forwarding
- Automated call menus
- Call queues for departments or teams
Desk Phones
Physical desk phones are available upon request. These devices involve additional equipment and support costs. The standard phone service is provided through software applications.
Fax Services
The university offers fax services in both traditional and digital formats to meet different business needs. Most customers choose digital faxing, which allows faxes to be sent and received electronically without using a physical fax machine.
Digital Fax Service
Digital faxing lets you send and receive faxes securely through email or a web‑based application. This option removes the need for paper, toner, or fax hardware and can be used from any location with internet access.

Phone services are billed at the standard phone service rate. Desk phones incur additional equipment and support costs. See the Billing and Rates webpage for details. The cost of digital fax service is the same as a standard university phone line. Physical fax machines are not provided.
How to proceed:
- Click the Individual Phone Services button to request, update, or disconnect individual phone service, manage an individual phone number or caller ID, update voicemail settings, or request a physical desk phone (additional charges apply). Once a request has been submitted, the technical team will respond within established service level objectives.
- Click the Shared Phone Services button to request, update, or disconnect department or group phone service, manage shared phone numbers or caller ID, update call routing features, or request a physical desk phone for a shared space (additional charges apply). - Click the Fax Services button to request a new digital fax number, convert an existing fax line to digital fax service, or request a consultation to determine the best fax solution for your needs.
